Challenge 

Operating in the events industry presents unique challenges. The sector is highly labour-intensive and requires the coordination of diverse teams with different roles, responsibilities, and locations.

As a global player, efficient communication and the ability to keep track of employees were critical needs for GL events.

Their existing manual communication and workforce management solutions were proving time consuming and at times unreliable. Delays in reaching employees led to slower decision-making and impacted productivity, and there were often gaps in reporting and tracking as well as difficulty in managing shift times and staff allocation.

GL events recognised that ensuring workforce safety and maintaining operational efficiency required a modern, customised solution that could handle the demands of a large, diverse and mobile team.

Solution 

Recognising the need for transformation, GL events partnered with Instacom, a South African reseller of push-to-talk over cellular (PoC) technologies developed by Mobile Tornado in the UK.

Instacom implemented a solution that combined reliable communication with advanced location tracking features. The solution provided instant communication across teams, regardless of their location and provided real-time visibility of staff locations to help keep them safer and manage resource more efficiently.

Unlike GL events’ traditional radio system, Instacom’s PoC solution uses cellular networks, ensuring seamless communication even in remote areas—a critical factor for event operations spread across multiple and sometimes challenging environments.

 Results

The introduction of Instacom’s PoC solution delivered measurable improvements across GL events’ operations. Being able to instantly reach staff has improved responsiveness and led to faster decision making. Real-time visibility of staff has improved efficiency in resource allocation and shift management, as well as improving the safety of the workforce.
